Refund Policy

Last updated May 26, 2026 · Applies to Edu Matrix Interlinked platform billing (institution subscriptions and verification badges).

In short:

  • The 30-day free trial means you are not charged at all if you cancel before it ends.
  • Subscriptions and badges are billed in advance, monthly. We do not provide refunds for the current (already paid) month or for partial months.
  • You can cancel anytime — cancelling stops the next charge; you keep full access until the end of the period you have already paid for.
  • Exception: demonstrable billing errors (duplicate charge, wrong amount, wrong tax) are refunded.
  • Billing, invoices, taxes and refund disputes are processed by our Merchant of Record (a licensed third-party payment processor).

1. The 30-day free trial

New institutions start on a 30-day free trial of the platform subscription. You add a payment method when you start, but no charge is made during the trial. If you cancel at any point before the trial ends, you will not be charged anything.

If you do not cancel, billing begins automatically at 5,000 PKR / month when the trial ends, and the normal cancellation terms below apply.

2. Platform subscription (₨5,000/month per institution)

The platform subscription is a flat 5,000 PKR per institution per month, billed in advance at the start of each monthly period through our payment processor. It covers unlimited members and all platform services.

Cancellation. An institution admin can cancel any time from Edu Matrix Hub → Subscription (or via the link in any billing email). Cancellation takes effect at the end of the current paid period: you keep full access until then, and no further charges are made.

Refunds. We do not refund the current (already billed) month, and we do not pro-rate partial months. Because you retain full access for the remainder of the period you have paid for, cancelling simply prevents the next charge.

3. Institution verification badges (monthly)

Verification badges (BLUE ₨5,000, SILVER ₨6,000, GOLD ₨7,000, DIAMOND ₨8,000 per month) are optional add-ons. Each is a recurring monthly subscription billed in advance through our payment processor. When purchased, the badge is automatically applied to every active member's profile across the platform.

Cancellation. Cancel a badge any time from Edu Matrix Hub → Badges. The badge remains active for your members until the end of the current paid month, then it (and the member assignments) are removed. No further charges are made.

Refunds. Because the badge is delivered immediately and visible to your members for the paid period, badge charges are non-refundable once a billing period has started, except in the case of a billing error (see §4).

4. When we do issue a refund

We refund in these situations:

  • Duplicate charge for the same period.
  • Charged the wrong amount, wrong currency, or wrong tax.
  • You were billed after a confirmed cancellation request that we did not process correctly.
  • A charge made due to a verified technical error on our side.

To request a billing-error refund, email billing@edumatrixinterlinked.com with your institution name and the transaction or invoice number within 30 days of the charge. Approved refunds are issued to the original payment method by our Merchant of Record, typically within 5–10 business days.

5. When we don't issue a refund

  • The current (already paid) subscription or badge month.
  • Partial / unused portions of a month after cancellation.
  • "Changed our mind" / "didn't use it enough" after a billing period has started (cancel before the next renewal instead).
  • Suspension or termination of an account for violating our Terms of Service.
  • Chargebacks initiated without first contacting us.

6. Merchant of Record

All platform payments are processed by our Merchant of Record, a licensed third-party payment processor. They handle payment collection, invoicing, sales tax/VAT, currency conversion and refund execution. Invoices and receipts are available any time in your Billing dashboard. The payment processor's buyer terms also apply to your purchase.

7. Failed payments & dunning

If a renewal payment fails, your subscription enters a 7-day grace period (status "past due"). If it is not resolved, the institution is moved to read-only ("suspended"). After 30 days unpaid in total, the subscription is cancelled and the institution must re-subscribe to restore full access. We notify the institution admin by email and in-app at each step. Failed payments do not generate a charge, so there is nothing to refund in that case.
